Move In & Move Out Inspections
Property management companies do their move-in and move-out inspections differently. Some companies will do them in person. Others will just leave a nice welcome letter with the checklist, just before the tenants pick up the keys, and ask them to return the form within 15 days.
The downside on the latter is when you get that checklist on day 13 or 14 and it it's five pages long, it would already be difficult to hold anyone accountable for damages because the report is too large.
At Utah Property Solutions, we changed the way we do move-in and move-out inspections to make the process more efficient. Our team of experienced leasing managers personally handle property showings, background checks, screenings, leasing, and even the move-in process. Together with the tenant, a leasing manager will conduct a walk-through of the property and will inspect each segment thoroughly. After each area is checked, the tenants will be asked if there is anything they would like to notate as damage. The tenant will also be given 24 hours upon taking occupancy to report any damage to the property, and it will be added to the list, subject to further verification.
This is such an important step as we want the tenant to be held accountable for any damage, and we want the property to be restored in the same condition when we turned it over to them.
When the tenants move out, once we receive the keys, we have two business days to go in and do the same thorough inspection. We take videos and photos and then compare them side-by-side with the move-in inspection results. Property Inspections
Imagine that you haven't heard from your property management company in a while. You give them a call and ask about the current condition of your property, and they tell you that they've just driven by your property and that it looks just great. This is what we call a "desktop" inspection.
There are a lot of property management companies out there, but the really good ones are doing actual inspections and reviews, not "desktop" reviews. It is of utmost importance that our team documents drive-by and interior inspections, but not in a very detailed manner as what we do in move-in/move-out inspections. When we do these types of inspection, we look for things that are not supposed to be in your property, e.g. evidence of water or moisture, smoke or too many occupants. When we do drive-by reviews, we take actual photos of the exterior of the property and decide whether its condition needs further inspection.
